OVERVIEW:
Compass Business Park is a commercial complex located in Lane Cove, comprising of 37 units, a mix of office suites and warehouses. The owner’s corporation engaged Pillar FM as their current building management was frustrating and many issues were noted but not actioned. Strata managing agents recommended Pillar FM to take over building management due to the owners’ dissatisfaction.
CHALLENGES:
One of the significant challenges we faced when taking over the management of Compass Business Park was building trust with the various business owners and the Owners Corporation. We needed to demonstrate that our work was in their best interest and met their standards. This was especially difficult given that each business owner had their requirements and standards. Additionally, we were tasked with addressing a backlog of issues and unfinished projects while still managing day-to-day issues and uncovering new ones that had been overlooked. This required careful planning, prioritisation, and coordination to ensure that all issues were addressed promptly and effectively.
STRATEGY:
Pillar FM took several steps to manage the building effectively. Firstly, we assessed the outstanding large and complex problems and met with the committee to determine their priorities. We set time frames for work to be actioned and communicated these with the committee to ensure their needs were met, and the most critical issues were addressed. Next, we addressed the small outstanding work and finalised it to ensure the smooth functioning of the building.
To have a comprehensive overview of the building’s condition, we analysed the building records and filled in any missing gaps. This helped us be better equipped to identify and address future issues. We reviewed the service and maintenance contracts to ensure that they were still competitive in the current market and that the building’s maintenance and upkeep were cost-effective.
In addition, we assessed compliance documents and liaised with strata compliance to ensure that they were up-to-date, and the building complied with all relevant regulations. We implemented the MyBos building management software for communications and record keeping, which helped us keep track of all communications and work orders, ensuring that nothing was missed, and all stakeholders were informed.
To increase building security and reduce third-party costs, we controlled the access control system, ensuring that only authorised personnel could access the building. Finally, we engaged all owners, tenants, and estate agents to establish communication and rapport, ensuring that everyone was on the same page, and we could work collaboratively to address any issues.

We ensured compliance with all relevant regulations and standards while increasing security measures and reducing third-party costs. Compass Business Park is now managed efficiently and effectively, and all outstanding issues have been resolved. The owners have expressed their satisfaction with the level of service provided by Pillar FM and have renewed the management agreement.
